Privacy Policy

This policy explains how Mandarin Pro Education Limited, operating as MandarinPro School, collects, uses, shares, retains, and protects personal information when you use our websites, learning services, classrooms, communications, and related features.

Scope and who is responsible

This policy applies to students, prospective students, teachers, Advisors, website visitors, and people who contact us. It covers information processed through MandarinPro School services and does not replace a separate notice provided for a specific employment, contractor, or business relationship.

Mandarin Pro Education Limited is the controller of the processing described here unless a feature-specific notice identifies another controller. Service providers may process information on our behalf under their own contractual and legal obligations.

Information you provide

We collect information you submit, including name, contact details, account credentials, language and time-zone preferences, profile data, learning goals, placement answers, messages, support requests, teacher applications, uploaded materials, availability, and information needed to arrange lessons.

When you book or participate, we process booking choices, attendance, cancellations, classroom activity, feedback, learning progress, and any content you choose to share. Please avoid submitting sensitive information that is not necessary for learning or support.

Information collected automatically

We collect technical and usage information such as IP address, approximate location derived from IP, device and browser attributes, language, time zone, authentication and security events, pages and features used, timestamps, referral information, diagnostics, crash data, and cookie or local-storage identifiers.

We may combine events across authenticated sessions and devices to secure accounts, maintain service continuity, prevent abuse, understand performance, and honor privacy or cookie choices.

Payments, subscriptions, and credits

We process order, subscription, credit-ledger, refund, tax, currency, billing-country, payment-status, fraud-screening, and dispute information. Payment providers process payment credentials and may send us tokens, limited card descriptors, transaction identifiers, risk results, and status updates.

We do not intentionally store full payment-card numbers or security codes in the ordinary platform database. Payment providers, banks, and wallet operators handle that information under their own privacy notices.

Lessons, communications, and recordings

Lessons and support interactions may involve audio, video, chat, shared files, whiteboards, attendance records, classroom diagnostics, and communications between students, teachers, Advisors, and authorized staff.

A session is recorded or transcribed only when the feature is enabled and an appropriate notice, agreement, consent, or other legal basis applies. Recording availability may differ by course and region. Participants must not independently record or distribute another person's image, voice, messages, or materials without authorization.

Placement, Advisors, and AI-assisted features

Placement answers, learning goals, prior activity, and assessment results may be used to estimate level, recommend teachers or materials, prepare a draft learning plan, and support an Advisor or teacher. Authorized teachers or Advisors receive only the information reasonably needed for the services you request.

Some features send selected inputs to AI service providers to generate recommendations, transcripts, summaries, practice, safety signals, or administrative assistance. Outputs may be inaccurate and may be reviewed or corrected by authorized people. We do not treat an AI recommendation as a decision that independently produces legal or similarly significant effects.

We do not sell lesson content or intentionally authorize third-party AI providers to train public models on identifiable learning content unless we separately disclose that use and have an appropriate legal basis.

How and why we use information

We use personal information to create and secure accounts; provide classrooms, bookings, credits, subscriptions, payments, refunds, support, and notifications; match students and teachers; personalize learning; operate placement and AI-assisted features; enforce policies; investigate safety and fraud; comply with law; and improve service reliability.

Depending on the context and applicable law, processing may be necessary to perform a contract, take steps you request before a contract, comply with legal obligations, protect vital interests, pursue legitimate interests such as security and service improvement, or act on consent. Withdrawing consent does not affect processing already lawfully completed and may not stop processing supported by another lawful basis.

When we share information

We may share limited information with teachers, Advisors, students involved in a booked service, payment and fraud providers, cloud hosting and storage providers, communications and email services, classroom and media vendors, AI providers, analytics vendors enabled by consent, professional advisers, auditors, and support contractors.

We may also disclose information to comply with law, protect rights or safety, investigate fraud, respond to valid legal process, or support a merger, financing, restructuring, or transfer of business. A business recipient must handle the information subject to applicable law and the commitments communicated during the transaction.

International data transfers

Because the service connects users and providers internationally, information may be processed outside your country, including in locations with different data-protection laws.

Where required, we use recognized safeguards such as adequacy decisions, contractual protections, transfer assessments, access controls, or another lawful transfer mechanism. You may contact privacy@mandarinproschool.com for available information about safeguards relevant to your data.

Retention and deletion

We retain information for the period reasonably necessary for the purpose collected, including service delivery, account continuity, safety, dispute handling, tax, accounting, anti-fraud, legal, and audit obligations. Retention varies by record type, transaction status, limitation period, and whether an account remains active.

Account deletion does not necessarily delete all data immediately. We may retain transaction, acceptance, consent, refund, chargeback, safety, fraud, and legal records; de-identify learning data; and keep encrypted backups until they rotate. Information required for an active dispute, booking, payout, or legal hold may be retained until resolved.

Security and incident response

We use administrative, technical, and organizational safeguards designed for the nature of the data, including access controls, authentication, logging, encryption where appropriate, service segregation, backups, and vendor review. No internet service can guarantee absolute security.

If we identify a personal-data incident, we investigate, contain, document, and notify affected people or authorities when required. You should use a unique password, protect your devices, and report suspected compromise promptly.

Your privacy rights

Depending on where you live and the legal basis involved, you may have rights to receive information, access data, correct inaccuracies, request deletion, restrict or object to processing, obtain portable data, withdraw consent, and seek review of certain automated processing. These rights are not absolute and lawful exceptions may apply.

Email privacy@mandarinproschool.com to submit a request. We may verify identity and authority before responding. An authorized agent or guardian may be required to provide evidence of authority. You may also have the right to complain to a competent data-protection or consumer authority.

Choices and communications

You may manage non-essential cookies through Cookie Settings and may unsubscribe from promotional email using the provided control. We may still send transactional or service messages about security, bookings, payments, legal updates, and account administration.

Disabling a permission, cookie, camera, microphone, or notification may limit the related feature. A preference change applies prospectively and may take reasonable time to propagate across devices and service providers.

Children and guardian accounts

Our services are not intended for a child to create and operate independently where parental authorization is legally required. A parent or guardian must authorize and supervise use by a minor who cannot consent independently.

If we learn that personal information was collected from a child without required authorization, we may restrict the account and take reasonable steps to obtain authorization or delete the information, subject to safety, transaction, and legal-retention needs. Parents and guardians may contact privacy@mandarinproschool.com about access, correction, deletion, or further collection.

Third-party links and independent services

The service may link to or integrate independent payment, video, calendar, communication, or other services. Their privacy practices apply when they act as independent controllers. Review their notices before providing information directly to them.

We are not responsible for the privacy practices of an unrelated site merely because we link to it, but we seek to select and manage service providers appropriate to the data and function involved.

Changes to this policy

We may update this policy to reflect product, provider, legal, or operational changes. We will update the effective date and provide additional notice when a change is material or consent is required.

A new policy does not retroactively create consent for a new purpose that legally requires consent. Previous versions and acceptance records may be retained for compliance and dispute resolution.

Contact privacy@mandarinproschool.com with privacy questions, rights requests, or complaints. Include enough information to identify the account and request, but do not email passwords, full card details, or unnecessary identity documents.

We will investigate concerns and explain the outcome where appropriate. If you remain dissatisfied, you may contact the data-protection or consumer authority available in your jurisdiction.
